What Personal Data We Collect

We collect the minimum data needed to respond to enquiries, deliver work, and meet our legal and regulatory obligations. This typically includes:

  • Contact details: name, role, business name, telephone number, email address, and site address
  • Enquiry information: details of the work you are asking us to quote for, service, or attend
  • Site and appliance information: boiler models, kW ratings, system age, fault history, and other technical details needed to deliver gas-safe work
  • Correspondence: emails, calls, and messages exchanged during enquiries and ongoing work
  • Compliance records: gas safety certificates, service reports, and other documentation we are required to retain under Gas Safe Register obligations and the Gas Safety (Installation and Use) Regulations 1998

We do not collect special category data (health, ethnicity, religion, etc.) and do not knowingly collect data from anyone under 18.

How We Use Your Data

We use personal data only for the purposes for which it was collected. These typically include:

  • Responding to enquiries and providing quotations
  • Scheduling and delivering gas, heating, and pipework work
  • Issuing certificates, invoices, and reports
  • Maintaining client records and Service Agreement schedules
  • Complying with our statutory obligations under Gas Safe Register and HMRC requirements
  • Communicating about ongoing or future work, where you are an existing client

We will not use your data for marketing purposes without your consent, and we do not send unsolicited marketing communications.

Lawful Basis for Processing

We process personal data under one or more of the following lawful bases:

  • Contract: where processing is necessary to deliver work you have requested or quoted for
  • Legal obligation: where we are required to retain records under Gas Safe Register, HMRC, or health and safety legislation
  • Legitimate interests: for routine business administration, client record-keeping, and responding to enquiries
  • Consent: where you have explicitly agreed to a specific use of your data (you can withdraw consent at any time)

Who We Share Your Data With

We do not sell, rent, or trade personal data. We share data only where necessary to deliver services or meet legal obligations:

  • Subcontractors and engineers working on your site, where information is needed to carry out the work safely

How Long We Keep Your Data

We retain personal data only for as long as necessary:

  • Active client records and ongoing Service Agreements: for the duration of the relationship and a reasonable period after
  • Gas safety certificates, service reports and compliance records: a minimum of 6 years, as company policy, so that a full history is available to clients, insurers and auditors
  • Financial and accounting records: minimum 6 years, in line with HMRC requirements
