Maintenance You Can Budget

Bridge Heating & Gas Services Ltd offers Annual Service Agreements for commercial clients across Essex, Kent and London: schools, care homes, hotels, factories, offices, retail, and FM-managed portfolios.

A Service Agreement is the structured way to manage ongoing heating and gas compliance: scheduled inspections at the right intervals, audit-ready documentation, priority callout response, and fixed annual pricing you can plan around. It converts maintenance from reactive response into planned, budgetable, evidenced work.

Commercial gas engineering since 2003 (Gas Safe registration 199240, originally issued under CORGI), we have been running Service Agreements across our core sectors for years. The detail below covers what is included, who they suit, and the practical side of how ours work.

What Is Included

Our standard Annual Service Agreements cover:

  • Scheduled Servicing: planned visits at agreed intervals (typically annual, more frequent for high-use sites)
  • Priority Callout Response: Service Agreement clients go to the front of the queue when breakdowns come in
  • Asset Register: documented record of all plant and equipment on site, kept current at each visit
  • Compliance Documentation: audit-ready reports for facilities managers, insurers, and regulators
  • Defect Reporting: prioritised recommendations with the classifications (Immediately Dangerous / At Risk) that insurers and auditors expect
  • Fixed Annual Pricing: predictable costs for budgeting

Selected annual service agreements can include up to two reactive call-outs per year, subject to the agreed package and contract terms.

What is NOT included unless specifically agreed:

  • Repairs and replacement parts
  • Out-of-hours attendance
  • Whole-system design or BMS programming
  • Faults arising from third-party installation
  • Builder's works, electrical works beyond the gas/heating interface, or access equipment

Major repairs and replacement plant are quoted separately, with Service Agreement clients benefiting from priority response and the site knowledge that makes diagnostic work quicker.

Who They Are For

Service Agreements work best for:

  • Schools and colleges where holiday-period servicing, Governor-level audit, and insurance compliance all matter
  • Care homes and healthcare facilities where CQC compliance and resident safety need documented maintenance
  • Hotels and hospitality where kitchen and heating reliability affect trading
  • Offices and commercial landlords managing tenant safety and insurance compliance
  • FM companies managing single-site or multi-site portfolios
  • Industrial and manufacturing sites where unplanned downtime affects production

Less well-suited: single small-appliance sites, sites that do not need structured compliance records, or properties likely to change hands soon.

The Commercial Logic

Service Agreements work because they align two interests that can otherwise pull apart:

  • You want predictable costs and reliable compliance without surprises in January
  • We want to know our sites well, plan our year, and avoid reactive callouts at peak demand

The agreement gives both sides that. Maintenance conversations happen in spring rather than mid-winter. Callouts happen with the engineer who already knows the site. Compliance paperwork is there when the auditor walks in, not scrambled together the week before.

A Common Pattern We See

A typical scenario: a facilities manager inherits a site with inconsistent maintenance records: different engineers over the years, documentation gaps, no clear picture of plant condition. The first Service Agreement year is mostly catch-up: proper asset register, resolve outstanding defects, get compliance paperwork current. Year two becomes genuinely preventative. We know the site, we know what is ageing, and the conversations shift from “what is broken” to “what is next to retire.”

That is where Service Agreements stop feeling like a cost and start feeling like an investment.

Priority Callout Response: What It Means in Practice

Service Agreement clients get priority callout response. In practice:

  • Breakdowns go to the front of the queue: SA clients are attended before non-contract callouts where possible
  • We already know the site, which means quicker diagnostics and more often a first-time fix
  • We hold common parts for your plant type where reasonable
  • Service Agreement clients receive priority callout response. For all other callouts, attendance depends on engineer availability, site location, access, parts availability, and current workload.

How We Work With You

The process:

  1. Site walk: free, arranged at a time that suits your site, normally within 5 to 10 days
  2. Written proposal: scope, scheduled visit frequency, pricing and terms, within 5 working days of the site visit, where manufacturer and merchant pricing allows
  3. Agreement signed and dated: annual term, reviewed before renewal
  4. First scheduled visit: arranged at a time that fits your operational calendar
  5. Ongoing delivery: visits happen on schedule, callouts get priority, documentation is kept current

For multi-site or portfolio clients, we tailor the structure: single agreement covering all sites, consolidated reporting, single point of contact.

Not Quite the Right Fit?

Service Agreements are not for everyone. If your site works better on a pay-as-you-go basis (single-site, lower-risk plant, flexible maintenance budgets), we can work that way too. Standard rates for ad-hoc and reactive work are on the Pricing page.

What You Will Receive

Once you confirm a Service Agreement:

  • The full Service Agreement document, signed and dated
  • Your asset register (compiled at first visit)
  • A 12-month visit schedule
  • Priority contact details for your usual engineer
  • Clear escalation route for out-of-hours urgent callouts
